HVAC email marketing that books your maintenance visits.

An HVAC company's calendar follows the seasons and its maintenance plans. Sequence reminds plan members when tune-ups are due, follows up replacement estimates until they close, and texts customers when a heat or freeze alert is issued.

You type
Text our maintenance members in March and September to book a tune-up, follow up every unsold replacement estimate for two weeks, and text customers when a heat advisory hits.

What your agent does

  1. Step 1

    create_audience

    Finds your plan members

    With ServiceTitan connected, each customer carries crm_member and crm_membership_status, so members and lapsed members are one condition each.

    Excerpt of the call

    {
      "name": "Active members",
      "condition": [
        {
          "kind": "property",
          "prop": "crm_member",
          "op": "eq",
          "value": "true"
        }
      ]
    }
  2. Step 2

    create_broadcast

    Sends the seasonal tune-up push

    A one-time text or email to the members audience at the time you choose, such as early March and early September.

  3. Step 3

    create_sequence

    Chases replacement estimates

    Starts when ServiceTitan reports an estimate presented and stops when the job is sold or lost.

    Excerpt of the call

    {
      "name": "Replacement estimate",
      "trigger_type": "event",
      "trigger_event_name": "deal.stage_changed",
      "trigger_filter": [
        {
          "prop": "stage_to",
          "op": "eq",
          "value": "Estimates presented"
        }
      ],
      "exit_events": [
        {
          "event": "deal.won"
        },
        {
          "event": "deal.lost"
        }
      ]
    }
  4. Step 4

    create_weather_watch

    Watches heat and freeze alerts

    Heat Advisory, Extreme Heat Warning or Freeze Warning for your service area starts a short text sequence.

The same job, without a builder.

Builder-style marketing tools make you assemble every piece by hand. With Sequence, your agent does the assembly from one sentence, and you review the result.

In a builder, you

  • Export customers from your field-service software to a spreadsheet
  • Design each email in a drag-and-drop editor
  • Run a separate texting tool and keep both lists in sync
  • Rebuild the members list every season before the tune-up push
  • Remember to text customers while a heat advisory is on

With Sequence, you

Type one sentence. Your agent makes 4 calls:

  • create_audience
  • create_broadcast
  • create_sequence
  • create_weather_watch

Maintenance-plan tune-up reminders

Plan members are the most likely customers to book, and the easiest to forget. Send the reminder before the season starts, not after the first hot week.

Starts when
You schedule a broadcast to a dynamic audience of active members (crm_member is true, from ServiceTitan).
Timing
Twice a year, a few weeks before cooling and heating season.
Stops when
One-time send. Email skips anyone who unsubscribed; a text skips anyone who replied STOP.
Sample message
{{first_name}}, your spring tune-up with {{team_name}} is due. Reply with a day that works and we'll book it.

Replacement estimate follow-up

System replacements are big decisions, and most are not decided at the kitchen table. A steady, useful follow-up keeps your estimate in front of the homeowner.

Starts when
ServiceTitan reports deal.stage_changed with stage_to Estimates presented, for the job types you configure as sales.
Timing
A text two days later, an email with the options at day five, a final check-in at day twelve.
Stops when
The deal is won or lost (deal.won, deal.lost), the customer replies (a conversation.replied exit), or unsubscribes.
Sample message
Hi {{first_name}}, any questions about the system options we went over? Happy to walk through financing too.

Heat and freeze alerts

When the weather turns, customers call whoever reached them first. A weather watch lets the first message go out from the alert itself.

Starts when
The National Weather Service issues a Heat Advisory, Extreme Heat Warning or Freeze Warning for your area.
Timing
A text as soon as the alert is picked up, checked every 10 minutes.
Stops when
Each alert fires once; a cooldown stops repeat sends for the same watch.
Sample message
{{team_name}}: a heat advisory is in effect today. If your AC is struggling, reply and we'll get you on the schedule.

Questions

Do I need ServiceTitan?

Membership flags and estimate events come from ServiceTitan. Without it, import members as a CSV and send estimate events through Zapier or the API.

Will it text customers who never opted in?

No. Texts go only to contacts with SMS consent. Everyone else gets the email steps.

Can the tune-up message book the appointment?

Replies land in Sequence's inbox for your team to answer. Booking stays in your scheduling software.

Which weather alerts can I use?

Any National Weather Service alert type, such as Heat Advisory, Extreme Heat Warning or Freeze Warning.

Ask your agent. Sequence sends.
