Review request email and text templates

The best time to ask for a review is a day or two after the job, before the customer moves on. These messages ask every customer for an honest review, remind once, and give anyone with a problem a direct way to reach you.

When to send a review request

Ask two days after the job is finished: soon enough that the visit is fresh, late enough that the work has proved itself. Send one reminder five days later, then stop. Use the email for everyone and the text for customers who agreed to texts.

Two days after the job, email

Email

Subject: How did we do, {{first_name}}?

Hi {{first_name}}, Thanks for choosing {{team_name}}. Would you leave us a short, honest review of your visit? It takes about a minute and helps neighbors decide. {{ review_url | default:"Reply to this email and we'll send you the link." }} And if anything needs fixing, reply here as well and we'll take care of it. {{team_name}}

Two days after the job, text

Text

Hi {{first_name}}, thanks for choosing {{team_name}}! Would you leave us a quick review? {{ review_url | default:"Reply YES and we'll send the link." }}

Five days later, one reminder

Email

Subject: One quick favor

Hi {{first_name}}, Just one reminder, and then we'll leave you be: if you have a minute, a review of your recent visit would mean a lot to us. {{ review_url | default:"Reply and we'll send the link." }} Thank you, {{team_name}}

{{first_name}} and {{team_name}} are built in. The review link is not: store it as a contact property named review_url, or send it on the event that starts the sequence and use {{event.review_url}} instead. If the link is missing, the default asks the customer to reply, so the message never shows an empty gap. Preview it with a real contact before turning it on.

What not to do

  • Do not offer discounts or gifts for reviews. Google's policies for reviews do not allow incentives (Google Maps user-generated content policy).
  • Do not ask only the customers you expect to be happy, or steer unhappy customers away from leaving a review. The same policy prohibits selectively asking for positive reviews. Send the same request after every finished job.
  • Do not keep asking. One request and one reminder is enough.

Set it up in one sentence

Ask your agent:

“Two days after each job is completed, email the review request, text it to customers who opted in, and send one reminder five days later.”

The sequence starts on your job-completed event, from ServiceTitan, Zapier or your own app. See the estimate follow-up templates for the step before the job.
